Hot desking

A desk phone that several people use in turn. Each one signs in by dialing *7, their internal number and their personal code: the phone then rings for their calls, together with their usual extension, and their calls go out under their name and number. They sign out by dialing *7; otherwise the phone frees itself during the night. Voice prompts are currently in French.

How it works

  1. Tick "Shared phone" on an extension without a user: the phone of a free desk, a meeting room, an open space

  2. Everyone sets their 4-digit personal code once, in their settings, Security tab

  3. On the shared phone, dial *7 followed by your internal number, then your code when the phone asks for it

  4. The phone then rings wherever your usual extension rings, except in queues, and your calls go out under your name, with your external number and your call rights

  5. When you leave, dial *7 to free the phone; otherwise it frees itself around 3 a.m., the company's local time

  6. The extension list shows each shared extension, free or taken, and the name of the person signed in

Use cases

  • Flex office: desks are no longer assigned, everyone takes a phone when they arrive.
  • Part-time or hybrid work: one phone for several people, each with their own number.
  • A colleague visiting from another branch: they find their line on the spare desk's phone.
  • Meeting room: take your calls there during a long working session.

Benefits

  • Any phone brand: nothing is reprogrammed on the device, everything goes through dialing codes.
  • Your number follows you: colleagues and customers reach you on the same number, wherever you sit.
  • Your call forwarding and Do not disturb also apply on the shared phone.
  • The code is never stored in plain text, and five wrong codes lock it for fifteen minutes.
  • One sign-in at a time: signing in elsewhere frees the previous phone.
  • Nobody forgets to sign out: the phone frees itself every night, at the company's local time.

Examples

  • On arrival, a salesperson dials *7 followed by their internal number, then their code: the phone confirms it is now in their name.
  • A customer calls their direct number: the shared phone rings together with their usual phone, and they answer where they sit.
  • They leave without dialing *7: around 3 a.m., the phone frees itself and is ready for the next day.
