AI receptionist
A receptionist that picks up for you and talks with callers the way a person would. She answers questions about your business, books appointments in your calendar, transfers to the right colleague or takes a message. She replies in about one and a half seconds, and callers can interrupt her: the conversation stays natural.
How it works
- 1Place the receptionist in your call flow: as first reception, outside opening hours, or when nobody picks up
- 2Give her a name, a voice, a greeting and your callers' language, French or English
- 3Fill in your company FAQ: hours, address, prices, services. Up to 100 questions, importable from a file
- 4Choose what she may do: transfer, book an appointment, take a message, notify someone by email
- 5Read every transcribed conversation, with its summary and the actions taken, and follow the statistics
Use cases
- Medical practice: patients book, move or cancel appointments without tying up the front desk.
- Tradesperson on site: no more missed calls, she answers and takes details while you work.
- Busy reception: she answers simple questions (hours, address, lead times) and only transfers what needs a human.
- Evenings and weekends: the business always answers, and the message is waiting the next morning.
- Multi-department switchboard: callers say what they need, she routes them without a keypad menu.
- Known customer: she recognises them from their number and greets them by name.
Benefits
- She replies in about one and a half seconds, and stops as soon as the caller speaks.
- She only says what you taught her: your answers, your services, your transfer rules.
- Appointments land directly in Google Calendar or Outlook, following your slots and services.
- Messages are real voicemails, transcribed and summarised, emailed if you wish.
- She never discloses a contact's details, only their name, and only writes to recipients you chose.
- The language model runs in Paris and speech recognition in the European Union.
Configuration
- Identity
- Name, industry, language (French or English), personality, voice and greeting.
- FAQ
- The questions your callers ask and the answer to give. Up to 100 entries, with JSON import and export.
- Transfer
- To an extension, a call queue, a mobile, a voicemail, a ring group or another call flow, depending on what the caller asks.
- Answering machine
- The message is recorded after a beep, transcribed, summarised and prioritised, then emailed to the chosen recipients.
- Calendars and services
- Connects to Google Calendar or Outlook / Microsoft 365. Each service has its own duration, buffers and hours.
- Conversations and statistics
- Every call transcribed and summarised; call volume, handling rate, response time, actions taken, busiest hours.
Examples
- A patient calls at 7 pm for an appointment: the receptionist offers the week's free slots, books the one chosen and adds it to the practitioner's calendar.
- A customer asks whether you work in Landerneau: she answers from the FAQ, then offers to put them through to a technician.
- A supplier wants accounting: she transfers to that department, and takes a message if nobody answers.
